Website terms and booking information
We're passionate about clarity. These terms explain how Field & Frost Voyage Ltd. handles website use, enquiries and travel bookings from our London office.
Read thoroughlyThis page gives the general framework. The booking confirmation and supplier conditions govern the particular flights, accommodation or itinerary you select.
01 / The basics
A clear starting point.
These website terms apply when you visit or use this site. They sit alongside any separate booking conditions, supplier terms and payment terms sent to you for a particular arrangement.
In these terms, “we”, “us” and “our” mean Field & Frost Voyage Ltd., a travel agency based at 20 Kensington Palace Gardens, London, Richmond upon Thames, W8 4QQ. “You” and “your” mean the person using this site or asking us to arrange travel.
Using the site means you accept these terms. Please read them before sending an enquiry or paying for an arrangement. If a specific booking document conflicts with this page, the booking document will normally take priority for that booking.
Tell us if anything is unclear. You can contact our team at [email protected] or call +44 7457 905623. We will explain which document applies to your circumstances.
02 / Site access
The site is here to help you plan travel with accurate, useful information.
Details such as prices, schedules and availability can change. A displayed figure is not a confirmed offer until we issue written confirmation.
Use the site for personal or genuine business travel enquiries. Do not disrupt it, probe its security, impersonate another person or use it for unlawful activity.
Text, design, logos and images on this site belong to Field & Frost Voyage Ltd. or the relevant rights holder. You may view them for planning purposes, but may not copy or republish them without permission.
We may refer you to airline, hotel, insurer or other supplier websites. Their content, security and terms are their responsibility, so check them before proceeding.
We take care with published information, but cannot promise every detail is complete or current at every moment. Ask us to verify a detail that matters to your decision.
When you contact us, we may ask about dates, passenger details, budget, preferences and practical needs. We use that information to search available options and prepare an indication of price.
An enquiry does not create a contract. A contract is formed only when you accept the proposed arrangements and we issue confirmation, subject to the terms shown in that confirmation.
Unless your booking documents say otherwise, Field & Frost Voyage Ltd. acts as an agent for the airline, accommodation provider, tour operator, transport company or other supplier. The supplier is responsible for delivering its service and its own conditions will apply.
Where relevant, we will identify the supplier and provide the protection information supplied for the booking, including ATOL or other financial-protection details where applicable. Ask us before paying if you need this explained.
Travel prices depend on live availability, exchange rates, taxes, supplier rules and the details entered at the time of booking. A quote may have an expiry time or may change before confirmation. We will tell you about material changes before asking you to proceed.
Airlines, hotels and operators set many of the rules for changes and cancellation. Charges may apply, and some payments may be non-refundable under the supplier's conditions. We will explain the known terms before confirmation and pass on eligible refunds when the supplier has processed them.
Contact us promptly if plans change. We cannot promise that a supplier will accept a requested amendment, and we may charge an administration fee where this is stated in your booking documents.
03 / Before confirmation
Good records prevent surprises. Keep the confirmation and supplier conditions with your travel documents.
We check options against the information you provide.
You receive the relevant price and conditions before confirmation.
The contract starts when we issue confirmation after acceptance.
04 / Responsibility
The right responsibility depends on what you buy and who supplies it.
They state whether we are arranging a supplier service as agent or selling a package for which a package organiser has responsibility.
When we act as an agent, our responsibility is generally limited to taking reasonable care when arranging the supplier service and passing information between you and that supplier. We are not responsible for a supplier's acts or omissions except where the law says we are.
Nothing in these terms limits liability for fraud, death or personal injury caused by negligence, or any legal responsibility that cannot be limited.
If your purchase is a package under the Package Travel and Linked Travel Arrangements Regulations 2018, the package organiser may have responsibility for the proper performance of the travel services included in that package. Your confirmation will identify the organiser and explain the protection that applies.
Separate rules can apply to linked travel arrangements and to single supplier services. The arrangement you purchase is the deciding factor.
Raise a problem with us or the relevant supplier as soon as possible while you are travelling, so there is a fair chance to put matters right. After your return, send details, dates and supporting documents to [email protected].
